For the purposes of providing veterinary services and animal care to your animal, the personal information we collect includes:

  • Pet/animal details (including name, species, breed, colour, age, desexing status, microchip details, pet insurance details (if applicable).
  • Persons of authority (may include spouse and other persons who have an interest/authority in the treatment of your pet).

  • Responses to customer satisfaction surveys and similar activities.

  • Pet medical histories from other veterinarians. 

For the purposes of employment, we may also collect, in addition to the above:

Clients - We collect your personal information through our interactions with you:

  • During conversations with our staff (by phone, in person or electronically).
  • When you request an estimation of services.
  • When you present your pet for treatment.
  • When you complete forms or other documentation.

In some cases, where it is unreasonable or impracticable to obtain your personal information directly from you, we will seek to obtain it from a publicly available source or third party.

Employees/unsolicited job applications – We collect information from you when you apply for employment and when you complete forms applicable to the recruitment and selection process. Applications from job seekers, are kept with permission from the job seeker, for six months from the receipt of application for the purpose of recruitment in the immediate future. After six months, this information will be destroyed.

Other veterinary surgeons and staff (who are involved in the care of an animal), Contractors etc (other than those employed by Sutherland & Reynolds Pty Ltd) – may collect personal information from you when you interact with us. This information is generally collected for administration purposes.

Information held in electronic form is retained in our computer systems, databases and servers which are controlled by Sutherland & Reynolds Pty Ltd or by third parties under contractual agreement with Sutherland & Reynolds Pty Ltd.

  • To process insurance claims.
  • To carry out transactions with you, such as administer billing, administer third party payment arrangements and debt recovery.
  • To carry out transactions with you, such as process payments via direct debit.
  • To perform research and conduct quality assurance to improve our services.
  • To seek feedback from you to manage, monitor, plan and evaluate our services.

You have the right to use a pseudonym or not identify yourself, when dealing with Sutherland & Reynolds Pty Ltd  when lawful and practicable (for example, when making an enquiry). However, it is not always practical to deal with you anonymously or pseudonymously on an ongoing basis. If we do not collect personal information from you, we may be unable to provide your pet with the veterinary/animal care services you have asked us to provide.




Sutherland & Reynolds Pty Ltd  may send you direct marketing communications (via SMA, email or regular mail) from time to time, to keep you informed about products and services related to your bookings or the health of your pet or that may be of interest to you.

Security - Our websites take every precaution to protect our users information. When our subscription form asks users to enter sensitive information (such as credit card number), that information is encrypted and is protected with SSL encryption software.

Third Party Sites - To the extent hyperlinks or banner advertisements incorporating hyperlinks are utilised to access third party sites, you should be aware that these third party web sites are not controlled by Maraboon Veterinary Surgery and, therefore, are not subject to this Privacy Policy. Destruction of Personal Information - Sutherland & Reynolds Pty Ltd  takes reasonable steps to destroy or permanently de-identify your personal information where it is no longer required.  Personal information which forms part of our veterinary surgeons treatment records is maintained in accordance with legislative and professional requirements.

Disclosure of Your Personal Information - Unless you authorise us to, Sutherland & Reynolds will not disclose any personal information including your pet's medical records to anyone other than who is listed as owner or authorised person on your client file. It is your responsiblity to inform us if there are any changes to who can access the information on your file. 




It is your responsiblity to ensure that any personal information stored on your pet's microchip is kept up to date. The information stored on the microchip ultimately reflects the legal ownership of your pet. You must check with your pet's microchip provider (Central Animal Records, AAR etc) as to what information they have stored on the chip and update it accordingly if your information changes. If there is conflicting information between the microchipping company database and our client/patient database, we may not be able to provide you with information regarding your pet, including being able to contact you if your pet becomes lost.
